Our teams operate at the intersection of policy and performance—helping agencies streamline systems, modernize operations, and enhance public service delivery. We are currently seeking a highly capable Executive Management Support Specialist to provide comprehensive administrative and operational support to the Office of the CIO at WSSC Water .

Position Overview:

The Executive Management Support Specialist plays a vital role in maintaining the efficiency and effectiveness of daily operations within the Office of the CIO. This position requires a high level of discretion, organizational skill, and attention to detail. The ideal candidate will serve as a strategic liaison, manage critical documentation, and support communications that align technology initiatives with WSSC Water’s organizational goals.

Key Responsibilities:

Administrative & Operational Support

  • Manage day-to-day administrative operations to ensure seamless workflow within the Office of the CIO.
  • Provide direct support to the CIO, including drafting correspondence, preparing reports and presentations, managing meeting logistics, and compiling agendas/minutes.
  • Prepare documentation for Commission meetings, investigations, and special projects.
  • Attend high-level meetings and provide follow-up actions or summaries as needed.
  • Support HR functions such as job descriptions, hiring materials, onboarding forms, and organizational rosters.

Information & Communication Management

  • Maintain and update IT organizational charts and internal contact directories.
  • Serve as a point of contact for internal and external inquiries, ensuring timely and professional resolution.
  • Interpret internal policies and procedures; provide clear communication to staff.
  • Represent the CIO or Deputy Directors in meetings when required.
  • Manage staff travel, lodging logistics, and out-of-office schedules for senior leadership.

Data & Reporting

  • Compile and analyze data to support budget planning, personnel tracking, and operational assessments.
  • Create comprehensive reports that include actionable insights for executive decision-making.
  • Develop performance metrics, attendance logs, and change reports to enhance operational transparency.
  • Review internal documents and generate executive-level summaries or recommendations.

Process & Content Management

  • Manage and update IT’s intranet presence, including divisional content coordination.
  • Analyze and improve administrative processes such as records management, forms control, and workflow optimization.
  • Provide input into IT process improvement initiatives to streamline reporting and reduce administrative costs.
  • Support internal training coordination and maintain tracking systems for staff development.

Special Projects & Program Support

  • Coordinate IT Summer Intern Program logistics and communications.
  • Lead or support ad hoc administrative projects aligned with CIO strategic objectives.

Minimum Qualifications:

  • Education & Experience:
  • Bachelor’s degree with at least 6 years of continuous professional or supervisory experience in public administration, business management, or related fields;
  • OR high school diploma with 10 years of progressive experience in a similar role.
  • In-depth knowledge of public administration and operational data collection methods.
  • Strong professional writing skills; demonstrated ability to produce polished reports, memos, and presentations.
  • Proven ability to develop and execute detailed work plans independently.
  • Track record of effective team coordination and staff supervision.

  • Candidate must be able to pass a background check.
