Job Description

Job Title: Administrative Assistant III

Location: Houston, TX (Onsite, 5x/week)

Schedule: Monday – Friday, 8:00 AM – 4:00 PM (OT: 1–3 hrs as needed)

Pay Rate: $20 – $22/hr. (W2)

Position Summary

The Administrative Assistant III will provide high-level support to the Global Platform, Site Head, and Site Leadership Teams. This role requires a proactive and highly organized professional with a strong ability to manage complex calendars, coordinate meetings and travel, process expenses and invoices, and support special projects. The ideal candidate thrives in a fast-paced environment, demonstrates excellent judgment, and maintains the highest level of confidentiality and professionalism.

Key Responsibilities

  • Provide administrative support to the Global Platform, Senior Site Director, Direct Reports, and CGT/Houston Leadership Teams.
  • Manage executive calendars, schedule meetings, and coordinate onsite/offsite events and training.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring professional communication and customer service.
  • Handle expense reporting, timekeeping, and invoice processing with accuracy.
  • Coordinate domestic and international travel arrangements for senior management.
  • Support department training coordination, including monthly safety tracking.
  • Manage the site’s corporate travel card program, including eligibility, issuance, account changes, limit adjustments, and termination tracking.
  • Prepare purchase requisitions and ensure approval routing.
  • Provide backup support for other timekeepers when required.
  • Organize and complete special projects, ensuring deadlines and requirements are met.
  • Maintain office supplies, equipment, and documentation for inspection-readiness.
  • Uphold confidentiality in handling sensitive information and documentation.

Required Skills & Qualifications

  • Experience: 5+ years of administrative or executive assistant experience (senior leadership support preferred).
  • Technology: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Communication: Excellent written and verbal communication skills with strong attention to tone, clarity, and detail.
  • Organization: Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Professionalism: Polished, reliable, and composed, with strong executive presence.
  • Problem-Solving: Proactive and resourceful, able to anticipate needs and resolve issues independently.
  • Confidentiality: High level of discretion and trustworthiness in handling sensitive business information.
  • Collaboration: Strong interpersonal skills and ability to work across teams and leadership levels.
